SunIRef:GP Overview: The Scheduling Coordinator is responsible for managing patient scheduling activities in Urology. This involves coordinating the specialty clinic scheduling, physician and resident requests for patient scheduling, answering the clinic scheduling phone line, partnering with central scheduling, and scheduling for the Urology Procedure Room. Schedules Responsible for specialty clinic scheduling Understands different activity types and resources, i.e. procedure, new outpatient appointment, follow-up,, etc. Schedules patients as directed by physicians and nurse practitioners Notifies Service Line Administrator of conflicts with schedule Reschedules patients when clinic is cancelled Maintains statistics regarding unfilled schedules and no show rates Coordinates physician and nurse practitioner schedules in Qgenda Partners with Central Scheduling to address patient scheduling questions / concerns Schedules for the Urology Procedure room 2. Pre-registration Contacts or coordinates calls to all patients a week in advance to collect registration information, when needed At the time of contact for pre-registration confirms that the patient will keep the scheduled time 3. Patient Reminders Responsible for patient reminders, as appropriate, a week in advance of appointment in conjunction with pre-registration calls. Send itineraries / Helping Hands to patients for the Procedure Room 4. Other duties’ as assigned. Qualifications: REPORTING RELATIONSHIPS Reports to: Admin Lead KNOWLEDGE , SKILLS AND ABILITIES REQUIRED 1. High School graduate or equivalent. Knowledgeable in PC Operation 2. Two years previous medical secretary experience. 3. Must be able to manage daily deadlines. 4. Excellent customer service skills to interact with the public internal and external. MINIMUM PHYSICAL REQUIREMENTS Percent of time spent on: 40% Typing on computer 40% Answering telephones 16% Paperwork 02% Xeroxing 02% Filing Minimum physical requirements: Sitting Constantly (67-100%) Talking on telephone Constantly (67-100%) Typing on keyboard Constantly (67-100%) Standing/walking/reaching/bending Occasionally (0-33%) Pressure in this position will vary depending on the workload. The workload will be heavy but manageable most of the time.
