The Project Coordinator will work on our largest client in the Chicago office, TeamDDB. TeamDDB is widely considered the most advanced and best-in-class IAT within Omnicom, and that all starts with our Project Coordinators. They provide integral support for getting our work completed on time, on budget, and within scope. With their help, we’re able to coordinate our efforts across the 9 partner agencies that make up Team DDB and provide word-class materials to our client. The US Army account handles the entirety of the Army’s marketing strategy. From Strategy to Creative, Website, and more, we do it all! With all these workstreams, our Project Coordinators get exposed to every aspect the advertising world has to offer.
Project Coordinators keep their eye on each process, they are the empathetic support system in which great work comes to life. They connect the dots, cross all t’s and dot all the i’s. They are the individuals at the core of the team who keep the engine running in the right direction.
Responsibilities
Candidate Experience and Skills Preferred:
- Detail oriented with the ability to work independently and manage assigned tasks
- Ability to prioritize and communicate timeline constraints in a fluid work environment
- Must be accountable, reliable, and dependable.
- Likes to learn and take on new challenges
- Interest in building knowledge in project management principles
- Proven experience creating documentation and managing dependencies and timelines
- Enjoys working with a diverse set of projects and teams
- Knowledge and experience with Microsoft Suite, Smartsheets, and Workfront
- Familiarity with Adobe products and file types
Day-to-Day Core Competencies
- Project Schedule Management
- Work with Project Managers to develop and manage project timelines based on hour needed to complete the deliverables required.
- Able to break project down into small pieces (stages) and understand the deliverables at each stage.
- Project Cost Management
- Review client billing for accuracy by tracking, reporting, evaluating, and controlling projects.
- Partner with finance and account to review and evaluate subcontractor activities, burn, and invoicing for accuracy and reasonableness.
- Project Resource Management
- Engage and manage appropriate talent and resource allocation at all project stages.
- Project Risk Management
- Manage and communicate with risk management tools on a daily basis.
- Ability to accurately articulate risk management/mitigation plans and escalate high risk issues with management.
- Define, manage, and mitigate risks, including taking a proactive, approach to solve issues before they arise or manage as they come up.
- Project Communication Management
- Ensure involvement of the appropriate teams during each project phase.
- Drive open and honest communications across all teams to ensure no roadblocks in projects.
Qualifications
- 2-3 years of project management/coordination experience
- Bachelor’s Degree
- Solid track record of successfully leading projects from initiation to completion.
- Advertising agency experience huge plus
