JOB DESCRIPTION
The Personal Assistant (PA) at InstaDeep covers a key role in supporting the C-suite in the organisation, scheduling and carrying-out of their day-to-day tasks and engagements. The PA should be a down to earth individual with experience in supporting Senior Management ideally in a start-up environment. A PA at InstaDeep is a self-starter, who takes initiative and works independently and sees the bigger picture. A PA will also have the ability to exercise good judgement in a variety of situations being able to prioritise tasks. He/she has strong written and verbal communication, administrative, and organisational skills. In this role, he/she must be able to work under pressure and to handle a wide variety of activities and confidential matters with discretion.
ROLE RESPONSIBILITIES / ACCOUNTABILITIES
- Supporting the CEO in all administrative tasks;
- Overseeing the CEO’s important tasks and deadlines ;
- Ad-hoc personal errands for the CEO when needed;
- Plan, schedule and organise key meetings, looking after travel arrangements;
- International calendar management: understand business priorities, proactively review calendar schedules;
- Prepare and provide necessary material for meetings and presentations;
- Support in event planning and preparation of meetings : presentations, reports, logistics etc.
- Take minutes/notes in meetings when requested;
- Liaise with the required teams to ensure coordination of activities;
- Handle sensitive and confidential information with discretion;
- Manage emails and support with data entry into relevant databases;
- Perform additional duties, ad hoc tasks and assist with projects and teams as assigned.
REQUIREMENTS:
- University Degree or relevant qualifications;
- 10+ years of experience as a PA for CEO
- Experience of working effectively with leadership teams to achieve positive outcomes;
- Experience of working in a fast-paced, dynamic environment;
- Positive, energetic and can-do attitude;
- A flexible approach, hands-on, adaptable and solution-focused nature;
- Able to deal with multiple projects/tasks simultaneously;
- Great interpersonal skills’
- Proficiency in Google and Microsoft Suites;
- Collaborative and flexible team player;
- Experience of using systems as performance tools;
- Excellent written and verbal communication skills.
- Fluent in French
